Overview
Quote Requests are an optional feature to allow management at a company level of inbound quote requests to ensure that they are acknowledged, reviewed and processes.
The Quote Requests system is located in the Quote Requests sub-tab under the Quotes main menu. If you do not see the quote requests tab, contact M-Power support to have this feature enabled for your tenant.
Quote Requests can be created manually, if for instance you are on the phone with a customer. Or, by emailing a customer email to your designated Quote Request Email address.
Quote Request Inbound Email Address
This address is based on your tenant name, if you M-Power Aspire instance is located at https://www.crm.demo.m-powersoftware.com.au your tenant name would be 'demo'. In this instance your Quote Request Email address would be quotes@inbound-mail.demo.m-powersoftware.com.au.
Manually Creating Quote Requests
To manually create a quote request, click the `Add New Quote Request` button and fill out the fields as required.
Forwarding Customer Emails to Create Quote Requests
Forward your email to your designated Quote Request Inbound Email address and the system will parse it and create a new quote request. By default the new quote request will have the status of 'New' and you can locate it in the quote request list.
Note that while we make every attempt to parse and extract content from forwarded emails, due to the wide variety of email clients and ever changing email landscape this is not always possible. In cases where an email is not able to be parsed, the quote request is still created and a note to this effect added. It is always possible to download the original email file (eml) from the system and view on your local system.
Processing Quote Requests
Quote Requests move through a series of statuses from New, to Claimed, Quoted/Ordered and Closed.
All new quote requests will have the status of 'New', the default filter for the Quote Request List.
Once a staff member starts working on a quote request they should edit the status to claimed, this allow other staff to focus on the remaining new quote requests.
Once the quote request is reviewed it can either be converted to a quote to send a price to the customer or closed if the quote requests is not something the business considers you can supply.
Converting a Quote Request to a Quote
To create a quote from a quote request, first if created by email, select an email address from the drop-down list, if created manually this list will not be shown.
Then create or select both a customer and contact. If the customer or contact do not yet exist then use the [+] button to add.
Finally click Create Quote to create the new quote.
Closing a Quote Request that will not proceed
To close a quote request simply click the Close - No Action Required button. This changes the quote request status to closed and adds a note.
Linking an Existing Quote or Order
You can use the Add Existing Quote or Add Existing Order buttons to link an existing quote or order to the quote request.
