The Notification System (available since version 26.6.1) delivers real-time alerts for file approvals, overdue items, and other key events directly within your M-Power CRM. This guide walks through the one-time setup and ongoing configuration available to administrators.
Prerequisites
Before setting up notifications, confirm the following with your M-Power representative:
- The Notifications feature has been enabled for your instance.
- You have access to the Settings area.
Once the feature is enabled, a Notifications tab will appear in Settings on the left-hand sidebar.
Step 1: Run Initial Setup
When you open the Notifications settings tab for the first time, a status banner at the top of the page will indicate whether the notification system has been fully configured.
If setup is required, the banner will display a warning showing which components are missing (e.g. schema, seed data, system settings) along with a Run Setup button.
- Navigate to Settings → Notifications.
- Review the status banner. If it shows missing components, click Run Setup.
- Wait for the setup to complete — you'll see a success confirmation.
- The page will automatically reload and display the full configuration panels.
This setup process is safe to run multiple times — it only applies what's missing and won't overwrite existing data.
If setup is already complete, the banner will show a green "Notification system is fully configured" message and no further action is needed.
Step 2: Configure Scheduled Task Settings
The left-hand panel on the Notifications settings tab shows Scheduled Task Settings. These control the automated background tasks that power the notification system.

Adjust these values to suit your business needs and click Save Settings.
Tip: If your team works across time zones, set the overdue check hour to run before the start of your earliest shift so staff see overdue alerts when they log in.
Step 3: Set Default Channel Preferences
The right-hand panel shows the Default Channel Preferences matrix. This determines which notification channels are enabled by default for all users when they first start receiving notifications.
The matrix is organised by category (e.g. Quotations, Orders, CRM) with each notification type listed as a row. The columns represent delivery channels:
- In-App — notifications appear in the bell icon within M-Power CRM
- Email — notifications are sent to the user's email address
Check or uncheck the boxes to set the organisation-wide defaults, then click Save Defaults.
Important: These are defaults only. Individual users can override these in their personal Notification Preferences page. If you want to ensure certain notifications always reach users regardless of their personal settings, contact M-Power support to mark those types as mandatory.
Currently Available Notification Types
The following notification types are currently active and will generate real-time alerts:
Quotations
- Quote Approval Requested — when a quote is sent for customer approval
- Quote Approved — when a customer approves a quote
- Quote Rejected — when a customer requests changes on a quote
- Quote Approval Overdue — when a quote approval has been pending beyond the threshold
- Quote File Approval Requested / Approved / Rejected / Overdue — same as above, for individual file approvals on quotes
- Quote Request Assigned — when a user is assigned to a quote request
Orders
- Order File Approval Requested — when an order file is sent for customer approval
- Order File Approved — when a customer approves an order file
- Order File Rejected — when a customer requests changes on an order file
- Order File Approval Overdue — when an order file approval has been pending beyond the threshold
Additional notification types for other areas (dispatch, invoicing, inventory, CRM tasks, production, and more) are seeded and will appear in the preferences matrix with a "Coming Soon" badge. These will be activated progressively in future updates.
Who Receives Notifications?
For quote and order approval events, notifications are sent to:
- The owner of the quote or order (the employee who created or is assigned to it)
- The account manager for the associated customer, if one is set
Both recipients can individually opt out of specific notification types via their personal preferences.
Troubleshooting
The Notifications tab doesn't appear in Settings The use_notifications feature flag may not be enabled for your instance. Contact M-Power support.
The status banner shows "Could not check setup status" This usually indicates a temporary connectivity issue. Refresh the page and try again. If it persists, contact M-Power support.
Users aren't receiving notifications Check that the relevant notification types have the appropriate channels enabled in the Default Channel Preferences. Also confirm the user hasn't muted the category or disabled the type in their personal preferences.
