This guide shows you how to credit an invoice in M-Power. Crediting an invoice creates a brand-new credit document that mirrors the original invoice but reverses every line, so the amounts cancel out. You'd use this when an invoice was issued in error, a customer is being refunded, or goods or services need to be reversed off an account.
The steps below are the same regardless of which accounting system your site is connected to.
Before you start
- You need to be viewing the invoice you want to credit, not a credit. You cannot credit a credit — the option is hidden on documents that are already credits.
- If your site is connected to an external accounting system, the original invoice should already be exported to that system before you credit it. See If you see "Invoice Not Exported" below.
Steps
1. Open the invoice
Navigate to the invoice you want to credit and open its invoice details page.
2. Open the Tools menu
Click the Tools button (top of the invoice), then choose Credit this Invoice.
3. Confirm the credit
A Create Credit dialog appears with the message:
"Create a Credit for this Invoice? This will create a new invoice that includes all details from this invoice reversing each transaction."
Click Create Credit to continue, or Cancel to back out without making any changes.
4. Review the new credit
M-Power creates the credit and automatically opens it for you. You'll see a brief "Credit Created, opening credit invoice..." confirmation, then the new credit document loads on screen. Every line from the original invoice is carried across with the amounts reversed, so the credit offsets the original invoice.
How to confirm it worked
You'll know the credit was created successfully when:
- You are taken straight to the newly created credit document.
- The credit shows the same lines as the original invoice, with reversed (negative) amounts.
- On the credit, the Tools menu shows a View Related Invoice link back to the original invoice.
- On the original invoice, the Tools menu now shows a View Related Credit link to the credit you just created.
These two links let you move between the original invoice and its credit at any time.
Good to know
- A credit is its own document. Crediting an invoice does not change or delete the original — it creates a separate credit that reverses it. Both documents remain in the system and stay linked to each other.
- You can't credit a credit. The Credit this Invoice option is automatically hidden when you're viewing a document that is already a credit.
- The credit reverses the whole invoice. Every line is copied across and reversed. If you only need to reverse part of an invoice, credit the full invoice and re-invoice for the correct amount, or contact support for guidance.
If you see "Invoice Not Exported"
If your site is connected to an external accounting system, you may occasionally see an Invoice Not Exported message when you try to create the credit:
"This invoice has not been recorded as exported in M-Power. This can be because it was exported before this recording function was added. Click OK below to check this invoice and update M-Power's view of the invoice. If the total shows as exported, please refresh the page and you can then try to create the credit again."
This happens because the credit needs to link back to the original invoice in your accounting system, and M-Power hasn't yet recorded that the original was exported. To resolve it:
- Click OK in the message. M-Power checks the original invoice in your accounting system and updates its records.
- Once the invoice shows as exported, refresh the page.
- Try Credit this Invoice again.
