The Action Items screen gives you a single place to manage the flow of invoices from M-Power into your accounting system (Xero or MYOB AccountRight). From here you can see which invoices still need to be exported, which need attention before they can be exported, and which are exported and awaiting payment — and you can export them one at a time or all at once.
Opening Action Items
Go to the Invoices list and click the Action Items button in the toolbar.
The button only appears when your accounting system integration (Xero or MYOB AccountRight) is configured and Action Items are enabled for your site. If you can't see it and would like it turned on, contact M-Power support.
Understanding the list
| Column | What it shows |
|---|---|
| Invoice # | The M-Power invoice number. Click to open the invoice in a new tab. |
| Created | The invoice date. |
| Company | The customer. A red HOLD badge appears if the customer is on hold in your accounting system. |
| Order / Despatch | Links to the related order and despatch, where applicable. |
| Status | Where the invoice is in the accounting workflow — see Statuses explained below. |
| Export | Whether the invoice is ready to export, or what needs fixing first. |
| Inv. Total | The invoice total (including tax) in M-Power. |
| Xero Total / MYOB Total | The total recorded against the invoice in your accounting system after export. |
| Xero Paid / MYOB Paid | Payments recorded against the invoice in your accounting system. |
| Type | STANDARD, CREDIT (credit note) or DEPOSIT. |
Statuses explained
Status column
- PENDING EXPORT — the invoice exists in M-Power but has not yet been sent to your accounting system.
- PENDING PAYMENT — the invoice has been exported and is awaiting payment.
- PAID — the invoice has been exported and payment has been recorded in your accounting system.
Export column
- OK — the invoice passes all checks and is ready to export.
- CHECK LINE VALUES — one or more invoice lines have a problem (for example a missing value). Open the invoice, review the lines, and correct them before exporting.
- LINK COMPANY — the customer hasn't been matched to a contact (Xero) or card (MYOB) in your accounting system yet. Open the company record and link it, then return to Action Items.
Quick filters
The buttons across the top of the list filter it to the invoices you care about:
- All — every invoice in the list, with filters cleared.
- Require Checking — invoices that need something fixed before they can be exported (see the Export column for what).
- Pending Export — invoices not yet sent to your accounting system.
- Deposits / Credits — just deposit invoices or credit notes.
- Ready to Export — invoices that are pending export and pass all checks. These are the ones the bulk export will send.
- Pending Payment — exported invoices awaiting payment.
You can also use the search box to find a specific invoice, company or order.
Exporting a single invoice
Invoices that are PENDING EXPORT and pass all checks show an export button (file-export icon) at the right-hand end of the row. Click it to send that one invoice to your accounting system. A confirmation dialog shows the result, and the list refreshes when you close it.
If your accounting system connection has expired, you'll be prompted to sign in again before the export can proceed.
Bulk export — Export All Pending
When you select the Pending Export or Ready to Export filter, a green Export All Pending button appears. This exports every invoice that is ready — that is, PENDING EXPORT with no outstanding checks — in one run. It covers all pages of the list, not just the invoices currently on screen.
When you click it:
- M-Power confirms how many invoices will be exported. Click Export All to begin.
- A progress dialog lists every invoice with its status: Queued, Exporting, Exported, Failed or Skipped. Running counts of processed, exported and failed invoices are shown at the top.
- Invoices are exported one at a time. You can click Abort at any point — invoices already exported stay exported, and the remaining ones are marked Skipped.
Good to know:
- Failures don't stop the run. If one invoice fails (for example a validation problem), its reason is shown under the row and the export moves on to the next invoice.
- Temporary problems are retried automatically. Network hiccups and timeouts are retried up to three times per invoice before being marked failed. Genuine errors are not retried.
- No duplicates. The export checks whether the invoice already exists in your accounting system before creating it, so re-running a bulk export after a failure is safe.
- Sign-in required. If your accounting system needs to be re-authenticated, the run stops and asks you to export a single invoice manually first (which takes you through sign-in), then run the bulk export again.
- When the run finishes, a summary shows how many invoices were exported and how many failed. Anything that failed stays in the Pending Export list so you can fix the cause and try again.
Checking totals and payments
Invoices that are PENDING PAYMENT or PAID show a sync button (circular-arrows icon) on the row. Click it to fetch the invoice's current total and payments from your accounting system and update the list.
If the invoice can no longer be found in your accounting system — for example it was deleted or voided there — M-Power clears its export details and the invoice returns to PENDING EXPORT so it can be exported again if required.
Keeping M-Power in sync with your accounting system
Xero
The Sync Xero button refreshes the reference data M-Power holds from Xero. You can choose a Full sync, or just Items, Tax Rates, All Contacts, New Contacts or Tracking Categories. A full sync can take a minute or two depending on the size of your Xero organisation; a progress bar shows how it's going.
MYOB AccountRight
MYOB sites have three sync buttons:
- Sync Payments — updates invoice totals and payments from MYOB for exported invoices.
- Sync Credit Limits/Holds — refreshes each customer's credit limit, available credit and on-hold flag from MYOB.
- Sync MYOB — refreshes the reference data M-Power holds from your MYOB company file.
Troubleshooting
| Symptom | What to do |
|---|---|
| Invoice shows LINK COMPANY | The customer isn't linked to a Xero contact / MYOB card. Open the company record, link it to the matching contact in your accounting system, then refresh Action Items. |
| Invoice shows CHECK LINE VALUES | Open the invoice and review its lines for missing or invalid values, then try again. |
| Company shows a HOLD badge | The customer is on hold in your accounting system. Review the account there before invoicing further work. |
| Export asks you to sign in to Xero/MYOB | The connection has expired. Follow the sign-in prompt, then retry the export. |
| Totals in the list look out of date | Use the row's sync button (or Sync Payments on MYOB) to refresh totals and payments, or the refresh button to reload the list. |
| An invoice you deleted in Xero/MYOB still shows as exported | Click the row's sync button — when the invoice can't be found in the accounting system, M-Power resets it to PENDING EXPORT. |
If an export keeps failing and the reason shown isn't clear, contact M-Power support with the invoice number and the failure message from the bulk export dialog.
