The Leave Planner provides a calendar for planning future staff leave — annual leave, sick leave, public holidays and any other absence types you use. It is found in Settings > Staff > Leave Planner.
Leave entered here is saved as the same per-day leave records the weekly timesheet review uses, so planned leave is included automatically in the correct pay week (and its Excel export) when that week arrives — there is nothing to re-enter.
Reading the calendar
Each leave booking shows as a coloured bar across the days it covers, labelled with the staff member and leave reason. Colours follow the leave reason, with unpaid leave shown in grey, and a legend above the calendar shows the reasons in view. A multi-day booking shows as a single bar — if it was entered with weekends excluded, it shows as one bar per working week, matching the days actually recorded.
Adding leave
- Click Add Leave — or simply click the starting day on the calendar.
- Select the staff member and the leave reason.
- Set the From and To dates. Leave Exclude weekends ticked (the default) to record leave on weekdays only.
- Check the Paid hours per day — this is pre-filled from the leave reason's defaults. Enter 0 for unpaid leave.
- Add any comments and click Add Leave. One leave record is created for each day in the range.
If the staff member already has leave recorded on any day in the selected range, a warning lists those days before anything is saved — adding again records additional leave hours on those days, so only continue if that is intended.
Viewing, editing and deleting leave
Click a leave bar on the calendar to open the booking. The dialog shows whether the leave is paid or unpaid and lists each day with its hours and comments. From here you can:
- Edit a single day — change its reason, date, paid hours or comments.
- Delete a single day — for example when someone returns early.
- Delete the entire block — removes every day in the booking.
Managing leave reasons
Click Manage leave reasons to add or edit the list of leave types. These are the same leave reasons used by the timesheet system — each reason defines whether the leave is paid and its default hours per day, which pre-fill the Add Leave form.
