Quote Workflow
Quotes can be created on the Quotes page or from within the Company Details page whilst on the quotes tab for a given company. The workflow for making a quote is as follows:
- Create the quote.
- Edit the quote details.
- Either:
- Add a new Line to the quote and manually enter the description and price.
or - Add a product to the quote, complete the wizard, edit the quote line description and optionally edit the quote calculator.
- Add a new Line to the quote and manually enter the description and price.
- Either:
- Print the quote.
or - Email the quote to the client
- Print the quote.
Creating a Quote
From the Quotes page, click the Add New Quote button to create a new quote, as seen below:
The Create Quote form will now open, as can be seen in the below image.
(1): Select an existing client from the Customer dropdown list. Optionally you can add a new Client with the [+] button.
(2): Select a Contact or add a new contact for the selected company with the [+] button.
(3): Enter the relevant information for the project in the Details section will show in the quotes list, so adding details to allow you to search for the quote at a later date is recommended.
(4): Fill in the Notes section with any other details or conditions you want your clients to see.
(5): Press the Submit button, and the quote will be created and open for further editing.
Edit the Quote Details
Once the quote has opened, you can further edit the details by clicking into the field with the blue writing or clicking the Pencil button adjacent to blocks of text.
Adding Lines to the Quote
Quote lines are added to the quote grid in two ways:
- Using the Add New Line button.
or - Using the Add Product button.
Add New Line
(1): The Add New Line button adds a new line to the quote grid and opens the new line for editing.
(2): Enter some information about the product in the Description text box.
(3): Enter a number for the Quantity of products required.
(4): Enter the Unit Cost. Optionally, enter the Tax Type and Discount percentage.
(5): After editing, press the green Accept button to save the row.
Please Note: When entering a quote line this way, it is not linked to any calculator or work instructions.
Adding A Product
Pressing the Add Product button will open the recipe wizard with a dropdown list of products available in the system:
(1): Select a Product from the dropdown list.
(2): Enter a Quantity and invoke the recipe wizard.
(3): Use the recipe wizard to select Options from dropdown lists and customise the product parameters.
(4): After making your selections in the wizard, press the Calculate Price button. Upon reviewing the calculated price, click the Add to Quote button to add the product to the grid.
Editing a Quote Line
Once the product has been added to the grid, then you can further edit the quote row using the following:
- The Edit button; will open the same editing view as the add new line button.
or - The Calculator button (if the product was calculated using a recipe); Click the calculator to edit the costings that make up the product's price. The price can be updated using the Insert/Update button inside the product calculator menu.
